Arrangr's embedded app runs right inside your Webex space, letting you schedule meetings with your colleagues, or with external parties, without leaving the Webex app! Read on to see how to take advantage of all its capabilities.


Launch it with the "Apps" Button

Just click the "+ Apps" button in the top toolbar of your space to select the Arrangr app. If it's your first time, you'll need to sign into your Arrangr account to get started.


Conduct a Scheduling Poll For a Group Meeting

To poll everyone on their availability for a meeting, click "New Event Poll". 


If you have PII enabled, then Arrangr will show you a list of all the members of your current space, so you can select people to specify as recipients. You can also invite aren't members of the space in a later step. It's not actually necessary to specify any recipients in advance - but if your recipients have linked a busy calendar to Arrangr, then doing so will let you see when they are busy as you select times for the poll.


Once you have created your poll by clicking "Finalize Poll", the "Add to tab" button will appear at the bottom of the Arrangr app. When you click this, the a new tab will be added at the top of the space (just to the left of the "+ Apps" button). When other members navigate to this tab in the space, they will be able to take the poll to submit their availability.


If you're doing this live with other members of the space, if you leave the Arrangr app open after clicking "Add to tab", then you'll be able to see in real time how many people have submitted their response to the poll. Then, when everyone you need has taken the poll, you can click the "View Results" button to view the results of the poll. Or, if you want to also indicate your own preferences, you can first click the "Take the Poll Yourself" button, then proceed to view the results after you take the poll yourself.


Share Your 1:1 Scheduling Pages

In Arrangr, you can create different scheduling links that you can give out to people for them to schedule a meeting with you. Each of your links can have customized settings, to be used for setting up different types of meetings (15 minute call vs 45 minute call, in-person vs remote, phone call vs video call, at the office vs at a cafe, insert in your Google cal vs your Microsoft cal, you get the idea). You can create and manage your various scheduling pages here


In the Arrangr app in Webex, click on the "Scheduling Pages" tab to view all your scheduling pages. From there, you can either simply copy the link to paste into the chat or elsewhere, or you can click "Open in Webex Tab". This will queue Webex up to add that page as a new tab in the Webex space. Now you just need to click Webex's "Add to tab" button right below the Arrangr app to trigger it to actually add it to the space. Now other members of the space will be able to pull up your scheduling page right from inside the Webex space to schedule a 1:1 meeting with you!


Schedule a Group Meeting for an Agreed Upon Time

Sometimes you don't need to conduct a poll to get everyone's availability. You just want to schedule the meeting for a specified date and time, to distribute the details, collect RSVPs, get it on people's calendars, etc. If that's the case, just click "New Group Event" in the Arrangr app. If you have PII enabled, then next it will ask you to select recipients from a list of members of your current Webex space. Like with the poll, it's not necessary to select recipients here - they'll still be able to view the info, RSVP, add it to their calendar, etc. if not explicitly listed as an invitee. But if you do add them and they have a busy calendar linked to Arrangr, then you'll be able to see the recipients' busy times when you get to the step of selecting a time for the meeting, which might be helpful (like if you haven't already 100% decided on the time, but don't want to conduct a whole poll - this can help you pick a good time while scheduling the meeting).


Once you create the meeting by clicking "Finalize Event", you'll get a link that you can share with anyone you want to attend the meeting. If you want to add this meeting page as a tab in the space, you can do so by clicking the "Add to tab" button at the bottom of the screen. If they navigate to that tab, they will be able to RSVP and have it added to their calendars.


Propose Some Times for a 1:1 Meeting

If you want to set up a 1:1 meeting with someone but don't want to send them to one of your pre-set scheduling pages, you can always create a custom, flexible 1:1 invite on the fly. Just click "New 1:1 Meeting" in the Arrangr app. If PII is enabled then you'll be able to quickly select someone from your current Webex space as the recipient - or if you want to send it to someone outside the space, you can leave this blank and enter the recipient in the next step.


Once you continue, you'll be able to compose a customized 1:1 meeting invite, where you can select several times, or even time ranges, for them to choose from. By default, Webex will be selected as the call method, but you can easily change it to an in-person location or a phone call, etc instead. Once you finish creating the invite, you'll see the "Add to tab" button pop up at the bottom of the screen. If you click this, the invite will open on the other meeting participants' screen, where they cal select one of the times you proposed.


Post Invites into Webex Spaces

Whether you're accessing Arrangr on the web, in a Webex space, or in a Webex meeting, you can easily have Arrangr post your invites in a neatly formatted message right into a Webex space. To use this feature, first make sure that you have linked your Webex account to your Arrangr account (if you haven't you can do that here).


After you create an invite, whether it's a 1:1 meeting invite, a scheduled group meeting, or a group scheduling poll, you will see amongst the sharing options an option to share via Webex (see screenshot below for an example). If you click that button, if you are using the app inside Webex, then it will first ask if you want to share it by opening it in Webex, or have Arrangr post it to a Webex space. You'll then see a list of your spaces, both group spaces and direct conversations, to choose where you want it posted. Then just select the one you want and press send!
