One of the main ways that Arrangr uses your calendar is to block you off as busy so that others don't try to schedule meetings when there are conflicts on your calendar. See how this works below.


Setting your "busy" calendar(s)

To set up Arrangr to block you off as busy, go to your Arrangr Profile & Settings (https://arrangr.com/my_profile) and click "Settings", then go to the "Calendars" section. If you have not already linked your calendar account, follow the steps to do so. If you have, then click on the "edit" button next to where it says "Show Me as Busy". Now select any calendars that you want Arrangr to use to block you off as busy, then click "Save". 


By default, the calendars you select here will always be used whenever someone is trying to schedule with you on Arrangr. However, on each of your Arrangr scheduling pages, it's possible to customize what calendar, if any, Arrangr uses for that particular page.


Displaying only open time slots on your scheduling page

If you have an Arrangr scheduling page that lets guests select time slots to schedule a meeting with you, Arrangr will check your calendar and only display time slots when you are actually available. If you want, you can even add buffers so that, for example, no time slots that fall within 15 minutes of an event on your calendar will be offered.


Showing that you are busy in the calendar view

Instead of restricting guests to a list of time slots, some users like to give them a full calendar where they can just suggest times. In this case, Arrangr will use big red blocks on the calendar to indicate when you are busy, so that they can easily avoid these times and suggest times when you're free. If they try to suggest a time when you're busy, Arrangr will warn them, but will let them suggest the time if they insist, but you'll still need to accept that time before the meeting is confirmed. No details about what you have on your calendar will be shared with them - simply the fact that you're busy.


Works for group meetings and polls too

If someone is trying to organize a group meeting or creating a group meeting poll on Arrangr, if they select you as a recipient, then when they are going to select times, they will see red blocks on the calendar indicating when you're busy, so that they can try to avoid selecting times that won't work for you.


Double-booking prevention

Let's say you suggest several times to someone in an Arrangr 1:1 meeting invite. Now, as you wait for them to respond, an opportunity comes up for you to schedule something during one of the times you proposed to them. With Arrangr, you can go ahead and schedule this new event without worrying about double-booking. If they end up trying to accept that time, Arrangr will double-check your "busy" calendar and make sure nothing new has come up since you sent it. In this case, Arrangr will see the new conflicting event, and will inform them that this particular time slot is no longer available, so they will be able to select another one that you proposed, or they can suggest back some alternatives.


However, if there was a pre-existing event on your calendar at the time you initially sent them the invite, Arrangr will assume you knew about it and are ok scheduling over it, so we won't prevent them from accepting it in this case.
