Trying to schedule a group meeting or event can easily become a headache-inducing endeavor. The difficulty of finding an option that works for everyone involved can often lead to less than ideal times being scheduled, or unnecessary delays in scheduling the meeting, or sometimes even failure to make the meeting happen.


Arrangr's group meeting polls make it easy to find the best time across everyone's busy schedules, and if needed can even help you determine the place that works best. Below is a brief intro to how Arrangr polls work:


Creating your poll

To get started creating an Arrangr poll, just click "New Group Event" from the Arrangr menu, and then select "Poll for Best Option". 


Add recipients (or don't)

You can optionally enter your recipients as you create the poll. If you do, Arrangr will automatically email them an invitation to take the poll. Also, if your recipients happen to be Arrangr users as well, you may be able to see when they're busy to help you select times that are more likely to work.


Entering recipients isn't necessary, however, since you'll get a shareable link to your poll which you can give to anyone you want to take it.


Suggest times

Simply select a bunch of times on the calendar that you want to propose as potential times for your meeting. By default, each time block you select will be proposed as a meeting time, but we also have an advanced setting that lets you suggest ranges of time, where the meeting would be scheduled somewhere within one of the time ranges you select.



Select a place or call method (or suggest multiple, or leave TBD)

Typically people know where or how the meeting will take place, it's just a matter of when. In these cases you can just enter/select the location or call method when you create the poll. In other cases, you might need to determine between a few locations, or determine whether it should be a Zoom call or at a physical location. Or you might plan for it to be a hybrid event, but want to see everyone's availability for both in-person and for meeting remotely. In these cases you can select multiple options, and Arrangr will get their availability for each time-place combo. Or you can also leave the location TBD if you just want to lock down a time and figure that out later.

Send it out

As mentioned above, once you create the poll, anyone you listed as a recipient will receive an email from Arrangr. But you'll also receive a shareable poll link, so you can just send that yourself to anyone else you want to take the poll.


Taking the poll

Arrangr gives your participants a simple, clean interface for entering their availability for the options you proposed. They can either give a simple yes/no for each option, or can rate each option on a scale of "Great / OK / Maybe Not / No" (you select which scale you want them to use when you create the poll). Times will be displayed to participants in their local timezones, and if they happen to have an Arrangr account, they'll be able to reference their current schedule as they take the poll.


Viewing the results

Arrangr will auto-recommend whichever option looks best based on the results so far, saving you the time of having to comb through the results yourself if you don't want to. But we also do present you with the full breakdown in an easily digestible way, allowing you to easily determine the option that best fits your priorities and everyone's availability.



Finalizing the meeting

Once you determine the option that you want to lock down, you can select it on Arrangr and get it scheduled. Anyone who marked that time as available will typically be auto-RSVP'd as "attending" for the event. Arrangr will help share the final details with everyone, get the event on people's calendars, send out reminders, etc.
